Plan your event

Policies and Procedures

We kindly ask that you reserve your event space before making any catering arrangements. To do so, contact Winona State University’s Student Union at 507-457-5310.

Please note that all catering within Kryzsko Commons is exclusively provided by Chartwells. Outside food vendors or caterers, including but not limited to Bloedow’s Donuts, are not permitted to bring food into the building.

To ensure the safety of our guests, Campus Catering by Chartwells does not participate in co-catering. This means we are unable to provide catering services for events involving another caterer. Additionally, our catering equipment is not available for rental.

Timely Ordering

Catering and refreshment arrangements must be made no later than 10 business days before your event. *Please note: due to ongoing supply chain issues, menu items are subject to change.

Orders placed less than one full business day before the event will be considered expedited and will incur an additional fee of $20 or 20% of the total, whichever is greater.

A final confirmation and guaranteed guest count are required at least 7 business days prior to the event. This confirmation should include all event details: timing, location, number of attendees, menu selections, dietary needs, and room setup.

If a final guarantee is not provided, we will prepare for the estimated attendance given at the time of ordering. Final billing will reflect the guaranteed number or actual attendance, whichever is greater.

Delivery/Attended - Carved and Crafted Menu

  • On-campus delivery is free
  • Off-campus delivery fees may apply based on distance and order size.
  • Deliveries include setup of food and beverage tables with linens, proper disposable serviceware and utensils, heating elements, serving platters, risers, beverage dispensers, and ice chests.
  • Our staff will set up and return after the event to retrieve equipment. Please allow 30 minutes before and 15 minutes after your event for set up and takedown.
  • Full meals in Kryzsko Commons include staffing and do not incur a plateware/glassware fee if requested. For other locations, plate-ware and glassware are available for $4.00 per person.
  • To upgrade from disposable to real plateware and glassware, contact the catering department.

Delivery/Drop off - Casual Catering Menu

  • On-campus delivery is complimentary.
  • Off-campus delivery fees may apply based on distance and order size.
  • Delivery includes transport to the event room, with disposable serviceware provided.
  • This is a drop-off service only. Event organizers are responsible for setup, cleanup, and trash removal.
  • For upgraded service (including setup, presentation, cleanup, and trash removal), attendants are available for $35/hour, with a 4-hour minimum.

Billing & Payment

To confirm your event, we require a purchase order number, foundation account number, or a valid credit card on file. Events cannot be finalized without complete billing information and confirmation from the event organizer.

Billing will occur the week following your event. Campus Catering by Chartwells accepts Visa, MasterCard, American Express, and Discover.

Guest Counts

Final guest counts must be submitted to the catering department at least 7 business days prior to your event.

Event Time

Events are billed in four-hour increments. Additional service fees may apply for events that exceed this time frame.

Cancellation

Cancellations must be made at least 3 business days in advance. Cancellations made with less than 3 business days' notice may be subject to 100% of the final invoice. In the event of university closure due to inclement weather or other emergencies, all catering services will be canceled. To reschedule, please contact the catering department directly.

Serviceware and Plateware

All orders include high-quality compostable or disposable serviceware. For an elevated dining experience, plate-ware and glassware are available for an additional charge of $4.00 per person. If you would like to upgrade, please reach out to the catering department

Linen

Table linens are provided for all food and beverage service tables at catered events. Please note: linens are not included with drop-off service. Linens for non-food tables are available for an additional charge of $6.99 per table. If you'd like to upgrade your event with linens, please contact the catering department at least 10 business days in advance.

Special Dietary Needs

We’re happy to meet special dietary needs. Please notify the catering department of any requirements during the planning process, no later than 7 business days before your event.

Meeting Room and Equipment

For all non-food-related needs, including room reservations, room setup, AV equipment, and general facility support, please contact Winona State University’s Student Union at 507-457-5310.

Lost Items

Campus Catering by Chartwells is not responsible for lost, misplaced, or damaged personal items.

Action Stations

Action stations, carving stations, and bars require an additional setup fee of $45 per station, which includes one attendant per station.
