Policies
We kindly ask you reserve the space for your event before you make catering arrangements. Catering in Kryzsko Commons is exclusive to Chartwells. We do not allow any other caterer or outside food vendors of any kind to be delivered or brought into Kryzsko Commons. Including but not limited to Bloedows donuts. For the safety of our guests, Campus Catering by Chartwells does not participate in co-catering whereas we do not cater for an event where another caterer is hired. Nor do we rent any of our equipment for events.
Arrangements for catering and refreshments must be planned no later than 14 business days prior to your event date. *Due to supply chain, our menu is subject to change. Any order received less than one business day before the event is considered expedited and an additional charge of $20 or 20% will be added to the order, whichever is greater. Confirmation and final guarantee (number of attendees) must be finalized 10 business days prior to the day of your event. The confirmation and guarantee will include the exact times, location, attendance, menu choices, and room set up. If no guarantee is received, preparations will be made for total estimated at the time the menu was ordered. The final charges will be no less than the guaranteed number.
A purchase order number, foundation account number, or a valid credit card on file is required to confirm an event. You will be billed the week following your event. No contracts will be finalized without billing information, and confirmation from the event organizer. Campus Catering by Chartwells accepts V/MC/AMEX/DC.
We kindly request guest counts to be provided to the catering department 7 days prior to your event.
Events are billed in four-hour increments. Events exceeding the four-hour limit may be subject to additional service fees.
We kindly request all cancellations to be made 3 business days prior to your event. Anything cancelled within less than 3 business days may be subject to 100% of your final bill. When the University closes for inclement weather or other emergencies, all catering events will be cancelled. If your event is cancelled, you may reschedule by calling the catering department.
All compostable or disposable serviceware will be furnished as accompaniment to all items purchased. We provide high quality compostable or disposable serviceware. Plate-ware and glassware are available for an upgrade charge of $4.00 per person. If you would like to elevate your event from compostable ware to plate-ware, please contact your catering department.
Table linens are supplied for all food and beverage service tables at events. (Linens are not available for delivery/drop-off events). Table linens for non-food tables are available for an additional $12.99, per table. If you would like to upgrade your event with linens, please contact the catering department no later than 14 days prior to your event.
Special diets are accommodated upon request, we kindly ask that you submit any special dietary needs to the catering department during the planning process.
Please reserve all non-food related equipment by contacting Winona State University, Student Union at 507-457-5310. This includes room reservation, set, and room configuration, audio, visual, and other general information.
There is not a fee for delivery on campus. Off campus deliveries may include a delivery fee contingent on the size and location of your event. All deliveries from our Casual Catering guide include disposable serviceware and delivering the order to the building and room location as stated on the order. This is a delivery service. We kindly request that each event organizer set up, clean up, and remove trash upon the completion of each event. Campus Catering by Chartwells is happy to assist with upgrading the service of each event for $35 per hour per attendant fee with a 4-hour minimum. This includes set-up, presentation, clean-up, and trash removal.
There is not a fee for delivery on campus. Off campus deliveries may include a delivery fee contingent on the size and location of your event. All deliveries for orders placed from our Carved and Crafted guide will include proper disposable serviceware and utensils, linens for food and beverage service tables, heat elements for hot items, risers, and platters for cold items, as well as beverage dispensers, and ice chests for cold and hot beverages. Our catering staff will set up the equipment and return at the stated end time to pick up our equipment. Please allow 30 minutes prior and 15 minutes after your event for our staff to set up and take down. Banquets serving a full seated or buffet meal will be provided with the proper number of staff for your event. Full seated or buffet meals held in Kryzsko Commons will not incur a plate-ware and glassware fee if requested. For all other events plate-ware and glassware are available for an upgrade charge of $4.00 per person. If you would like to elevate your event from disposable-ware to plate-ware and glassware, please contact the catering department.
Any unused food remains the property of Campus Catering by Chartwells and cannot be removed from an event in compliance with local health regulations. Credit cannot be issued for leftover food or bulk beverage. Bottled beverages will be charged based on consumption. Any condiments or compostable serviceware also remain property of Campus Catering by Chartwells.
Lost misplaced or damaged items are not the responsibility of Campus Catering by Chartwells.
Set up for an event action station, carving station, or bar is an additional $45 charge, and includes 1 attendant per station.
