Catering Policies

Campus Catering Polices effective 1/01/2010

 ROOM RESERVATIONS

The first step in planning your event is booking a room. There are a number of rooms in Kryzsko Commons, Lourdes Hall, or Tau Conference Center that are designed for functions of various sizes. Or, you may choose to have your event in another building on campus or even off-campus. Regardless of the location, we will be happy to work with you once your room reservation has been made. For rooms in Kryzsko Commons, please contact 507-457-5313.  For Lourdes Hall and Tau Conference Center, please contact 507-454-3900.  Be sure to specify any special needs and the room requirements (such as table and chair arrangements, AV equipment needs, etc.) you will need when making your room reservation. Catering Services does not provide set up of tables, chairs, podiums, microphones, etc.

MENU PLANNING

In order to ensure that your event is perfect, please confirm food and beverage arrangements at least 7 working days prior to the date of the event. This allows us time to provide appropriate staffing, to order linen, and to offer the very highest quality product at the best possible cost to you. Events scheduled with less than 72 hours notice may be charged a late booking fee if items needed for your event are not in stock and current local market price is higher. For events requiring more detailed menu selections, such as luncheons, dinners and larger groups, please reserve the date with us two weeks in advance. This will ensure our availability and help us to customize a menu to suit your needs.  Contact the catering office or book online at: www.winonastate.catertrax.com.  If you have any questions or concerns please contact us at 507-457-2688.

GUARANTEES

Our policy requires a final guarantee three (3) business days prior to your scheduled

event. The guaranteed number for events on Monday, Tuesday, and Wednesday

must be made by 11:00 AM the preceding Friday. The guarantee will provide the

count for minimum billing unless the number present exceeds the guarantee figure.

For meals, we will provide food and services for 5% above the guarantee.

PAYMENT

Services may be paid by cash, check, credit card, WSU Purchase order, or Foundation Account. External customers are required to provide a 50% deposit and payment in full at the time of the event. 

SERVICE FEE

Continental breakfasts and breaks are priced for self-service. Events are based on a 2 hour service period. Events, including served meals and buffets, requiring longer service periods or additional servers may be charged $16 per hour per attendant.

EVENT MINIMUMS

At this time we have no minimum fees associated with our catering.  Other fees may apply depending on location, time, and complexity of the event.

FLOWERS, LINEN AND CHINA

We will be glad to order special floral arrangements or decorative requests for an additional fee if they are not provided.  Tablecloths will be provided for all food, beverage and dining tables only. Linen and skirts for any other tables are available for an additional charge and requests must be made in advance. For events outside Kryzsko Commons, Lourdes Hall, and Tau, disposable products are supplied for your event.  China is included at no extra charge for all buffets and served meals (excluding continental breakfasts and breaks) inside Kryzsko Commons, Lourdes Hall, and Tau Conference Center. On campus china service is available for any event outside Kryzsko Commons for an additional $2.50 per guest.

LATE ARRIVALS, CANCELLATIONS AND NO SHOWS

In the event your group will arrive later than scheduled, please notify the Catering Director as soon as possible. All cancellations of food service should be made no less than 24 hours prior to your event. Cancellations made less than 24 hours prior to the event are subject to charges to cover expenses incurred by Dining Services. 

LEFT OVER FOOD

It is a violation of Minnesota Health Codes to allow food to be packaged up after an event and taken off of the premises. Campus Catering Services cannot provide containers for this purpose, nor can we allow food to be removed from buffets, receptions, etc. even if less than the guaranteed amount of guests show up for your event. Campus Catering guarantees to provide enough food for the guaranteed amount of guests, any remaining food is property of Campus Catering.

Chartwells holds exclusive catering rights Kryzsko Commons and Lourdes Hall.
